The Traceability Staff is responsible for maintaining accurate records that allow raw materials, packaging materials, production batches, and finished products to be tracked throughout the manufacturing and distribution process. The role ensures that products can be traced from receipt of materials through production, storage, and dispatch in accordance with company quality and food/product safety requirements.
Key Responsibilities
- Maintain accurate traceability records for raw materials, packaging materials, work-in-process, and finished products.
- Record and monitor batch numbers, lot numbers, production dates, expiry dates, and product codes.
- Track the movement of materials and finished products from receiving through production, storage, and dispatch.
- Ensure that raw materials used in each production batch are properly documented and traceable.
- Verify production records against actual material usage and finished product output.
- Prepare and maintain batch records, production documents, inventory records, and traceability reports.
- Conduct traceability checks and assist in identifying the source and destination of products or materials when required.
- Assist with product recall and withdrawal activities by providing accurate batch and distribution information.
- Coordinate with Production, Quality Assurance, Warehouse, Inventory, and Logistics teams to ensure complete traceability.
- Investigate discrepancies in batch records, product quantities, or material movements and report findings to the supervisor.
- Ensure proper labeling and identification of raw materials, work-in-process, and finished products.
- Maintain organized and up-to-date physical and electronic traceability records.
- Assist during internal and external audits by providing required documentation and records.
- Ensure compliance with company procedures, GMP, HACCP, food/product safety, and applicable regulatory requirements.
- Monitor the proper use of FIFO/FEFO procedures where applicable.
- Perform other quality control, documentation, and traceability-related duties as assigned.
Qualifications
- Bachelor's degree in Food Technology, Food Science, Quality Management, Industrial Engineering, or a related field is preferred.
- Previous experience in traceability, quality assurance, quality control, inventory, production documentation, or a similar role is an advantage.
- Experience in FMCG, food manufacturing, beverage, pharmaceutical, or other manufacturing environments is preferred.
- Good understanding of batch control, lot tracking, inventory movement, and production documentation.
- Knowledge of GMP, HACCP, food safety, and quality management systems is an advantage.
- Proficient in Microsoft Excel and other basic computer applications.
- Strong attention to detail and accuracy in handling records and data.
- Good analytical and problem-solving skills.
- Strong organizational and documentation skills.
- Good communication skills and ability to coordinate with different departments.
- Able to work in a fast-paced manufacturing environment and meet deadlines.
- Willing to work on shifting schedules when required.
