Job Summary
The Time Keeper is responsible for accurately recording and monitoring employees' attendance, working hours, overtime, absences, leaves, and other time-related information. The position ensures that attendance records are complete and accurate for payroll processing and workforce management.
Key Responsibilities
- Record and monitor daily attendance, time-in, and time-out of employees.
- Maintain accurate records of regular working hours, overtime, undertime, absences, and tardiness.
- Verify attendance records against biometric systems, time cards, or other attendance monitoring systems.
- Prepare daily, weekly, and monthly attendance reports.
- Monitor employees' overtime and ensure proper authorization and documentation.
- Coordinate with supervisors and department heads regarding attendance discrepancies.
- Track employee leaves, rest days, schedule changes, and other attendance-related matters.
- Review and verify attendance data before submitting it for payroll processing.
- Maintain organized and confidential employee attendance records.
- Assist the HR and Payroll departments in resolving timekeeping and attendance concerns.
- Ensure compliance with company policies regarding working hours, breaks, overtime, and attendance.
- Monitor attendance of production, warehouse, and other shift-based employees.
- Prepare reports on absenteeism, tardiness, overtime, and manpower attendance when required.
- Immediately report irregularities or discrepancies in attendance records to the appropriate supervisor.
- Perform other HR or administrative duties related to timekeeping as assigned.
Qualifications
- High school diploma, vocational course, or bachelor's degree in Human Resources, Business Administration, Accounting, or a related field.
- Previous experience as a Time Keeper, Timekeeping Clerk, HR Assistant, Payroll Assistant, or similar position is preferred.
- Experience in FMCG, manufacturing, warehouse, or other shift-based environments is an advantage.
- Good knowledge of attendance and timekeeping procedures.
- Basic knowledge of payroll and labor regulations is an advantage.
- Proficient in Microsoft Excel and basic computer applications.
- Strong attention to detail and accuracy in handling numerical information.
- Good organizational and record-keeping skills.
- Able to maintain confidentiality of employee information.
- Good communication and interpersonal skills.
- Willing to work on shifting schedules and overtime when required.
- Reliable, organized, and able to work under minimal supervision.
